SS&C Blue Prism Recruitment Privacy Policy

Blue Prism takes its data privacy responsibilities seriously. This privacy policy explains what personal information Blue Prism collects on candidates and how we use it.

The Blue Prism entity that you are applying for a role with has primary responsibility and control over the personal information it collects about you (sometimes referred to as the data controller or equivalent under any applicable local data privacy laws), although it may have been initially collected by a recruitment agent or another member of the Blue Prism group. In certain circumstances, we may provide additional information to supplement this privacy policy, such as at the point of collecting information from you for background checks or when otherwise interacting with you, and by providing translations and supplemental privacy information in certain geographies where appropriate.

What personal information does Blue Prism collect?

Any information that you provide in your application, resume/CV and any accompanying documentation, or that we subsequently receive in connection with your application. This may include your:

How is my personal information used?

Blue Prism will process your personal data to communicate with you about your application, to assess your suitability for the role, and to manage the recruitment process. If you are invited to attend an interview, we will also use your personal information to facilitate the interview process (e.g. to set up a virtual interview or, if the interview is in person, to facilitate access to the premises). Unless otherwise stated, processing is carried out to further Blue Prism’s legitimate interest in recruiting the best candidates and in filling vacant roles. We carry out background checks on all potential new joiners, including criminal records checks where necessary for a particular role (e.g. if the role involves access to sensitive information) to ensure that individuals entrusted to access sensitive data are reliable, trustworthy and will process such data responsibly and to prevent unlawful acts.

Is my personal information shared with third parties?

We may share your personal information with other Blue Prism companies, who will process your personal information in accordance with the principles set out in this policy. As a global business, we operate worldwide and transfer and store personal information overseas in countries that may have data privacy laws that differ from the laws in your country. When transferring personal information overseas, we make sure that your personal information is adequately protected which may be through EU standard contractual clauses or other means permitted under applicable law.

Can I find out what information you have about me?

How long will you keep my personal information?

We may keep your personal information for up to two years after the recruitment process ends, or longer if permitted by applicable law. Not all personal data will be kept for this long. Should you become a Blue Prism employee or independent contractor, this privacy policy will be superseded by Blue Prism’s applicable employee or independent contractor privacy policy, a copy of which will be made available to you upon commencement of your role at Blue Prism.

How do I complain about use of my personal information?

If you would like to make a complaint about our use of your personal data please send details of your complaint, including the personal information it relates to, to [email protected]. We will investigate your complaint and respond as soon as we can, and no more than one month later. If you are not satisfied with our response you may contact the Information Commissioners Office (www.ico.org.uk) as Blue Prism’s external supervisory body or your local personal data privacy authority.
